Look for software that is web based. Not only does this design give you almost unlimited storage room to track your properties, but is always accessible. You just have to have to be on an Internet connection. If you can reach the Internet you can track your transactions or update your reports with up to the minute details. When you are tracking property information, you need to be able to look at details in various ways. You may think of great software as being three dimensional. You should be able to look at horizontal reports and at vertical reports. This means that you can look at all the expenses for a specific property (vertical) and all expenses of a particular category, such as utilities, in ALL the properties (horizontal).


Speed is critical, not only with entering data in real time, but in obtaining the reports quickly. The timely reports that are created from your detailed information can enable you to make changes in direction quickly, based on the latest data. Not all reports will have the same level of urgency. You may need to check references of potential tenants. Maintenance logs are another report that is not necessarily time sensitive. Accounting reports and tax records can be immediately needed.


The people who live in your properties are the ones who provide the revenue side of the equation. You need to make certain that they are financially stable people who pay their bills on time. You will want to check for a criminal record too. Your software can provide these reports through links to background check sites. This will allow you to choose the best possible tenants to place in your housing units.


A strong accounting system is a critical element. You will need to account for your income and your expenses. If you report to stock holders, owners or partners, accuracy and timeliness is the key. Avoid overspending by keeping your records current. Since most investors make budget projections based on actual history, you need information on the expenses and revenues in order to prepare realistic budgets for the future.


You also need the software to track your repair and maintenance schedules and completions. Seasonal activities such as cleaning gutters need to be done regularly. The edging of flower beds, tree trimming and other similar tasks should be tracked using the maintenance logs. If you are not identifying the tasks to be done on a regular schedule, tasks may be forgotten, leading to major damages in the property or equipment that is linked to your properties.


The property management software program you select should have the above components at a minimum. You may also need help with something specific to your property type. You can select the right software for most purposes related to real estate management.
